Version change
When a study package (i.e. course, subject, major, sub-major, choice block, stream) has a new version created in CASS, the new version will appear in CIS within 24 hours and will be blank except for CASS data.
- If the new study package is Draft v1, users should add CIS data as required.
- If the latest version is Draft v >1, users should continue to edit the latest Active version, as this is the version that gets published. When the current Active version is ready to be Phased Out and the Draft version is ready to be made Active (and consequently no more CIS data changes are being made to the current Active version), users can then copy the latest data from the Active version into the Draft version (via the CI Copy tab) and amend as required (via the CI Edit tab).
Things to be aware of
- Copying data too late: Failing to copy the data before the Draft version becomes Active will result in the latest Active version containing no CIS data; it will therefore no longer be included in feeds (to the handbook, public website, etc.) because it will not meet the CIS criteria for publishing a course/subject.
- Copying data too soon: If you copy data from an Active version (v5) into a later Draft version (v6) and then continue editing the Active version (v5), any subsequent changes made to the Active version (v5) will not appear in the later Draft version (v6). This means that when the latest Active version (v5) is made Phasing Out and the latest Draft version (v6) is made Active, the new Active version (v6) will not contain the latest data (which is in Phasing Out v5).
