145 New field and amendment to publishing control Publish status (default) / Publish status (UTS website) CI: Courses To enable publishing of courses to, for example, the UTS website but not the handbook, and vice versa, the publish status field has been split into two fields. The 'Publish status (default)' field applies to the handbook and all feeds from CIS except to the UTS website. The 'Publish status (UTS website)' applies only to the UTS website. All Active courses should be marked 'Publish status (default): Yes' unless approval to mark them 'No' has been given by the Provost. The main benefit of this change is that courses not offered in the current year (and therefore not in the handbook) can be published on the UTS website and therefore advertised to students. Contact APO CIS to change a course's publish status. See the documentation for further details.

134 Loading status bar added n/a CI + SO (all pages) A loading status bar has been added to all pages. Because of the new logic added to pages in SO, loading times have increased. The loading status bar lets users know that the system is working and not frozen. It also stops the user from clicking additional buttons when it appears that nothing is happening and so slow the system even further. This should improve overall system performance. November 2016

132 Default option removed from 'Teaching period' n/a SO / Preview/Generate PDF tab / Create/refresh outline The 'Teaching period' has been blanked and an option must instead be actively chosen before you can generate a PDF. Previously, the first session listed on the dropdown was displayed by default and this caused confusion whereby some coordinators generated PDFs for incorrect sessions. November 2016
131 Change Request workflow improvements Subject learning objectives (SLOs) / Criteria linkages table SO / Change Request tab If you request a new SLO via the Change Request tab, this requested SLO now also appears on the SLO dropdown in the criteria linkages table (CLT) on the Change Request tab and you can request that it be attached to criteria. This means that the previous two-step process (where the SLO had to be approved before you were able to choose it from the SLO dropdown in the CLT) can now be completed within the one change request. 130 All fields that make up the Subject Outline PDF are now displayed on the Edit Main tab Various SO / Edit Main All fields that make up the Subject Outline PDF have now been added to the Edit Main tab in SO (this includes CASS fields and the fields on the Assessment Tasks and Program tabs).
However, not all fields can be edited on the Edit Main tab; some need to be edited on the Assessment Tasks, Program, or Change Request tabs or in Course Information (i.e. the orange tab). New icons and pop-ups provide details:
  • red +/- icon beside a field: you cannot edit this field
  • green +/- icon beside a field and the block turns yellow when you hover your mouse over it: you can edit this field
  • green change request [CR] icon beside the field name: you have to request a change to this field
  • field expanded: it has content
  • field collapsed and heading without shading: no content
  • field border and heading banner blue: the field is Active; you cannot edit another field until you click [Save] or [Cancel] in the field.

103 On-time PDF cut-off dates changed to reflect amended rules n/a Subject Outlines PDFs In the amended rule, it is a University requirement that, before the first teaching week in a subject, enrolled students have access to a subject outline consistent with the UTS: Handbook for that subject (see rule 3.7.3). In CIS, 'before the first teaching week' is defined as any time before midnight on the day before the semester start date (e.g. Autumn semester 2015 starts on Monday 23 February; outlines generated in the system at or before 11.59pm on Sunday 22 February are considered on-time outlines; outlines generated in the system from 12.00am on Monday 23 February are considered late outlines). Be advised that individual faculties will have their own subject outline deadlines which may be much earlier than those applied in the system. December 2014

The table can now be used to record three different modes of linkage: (i) Assessment task linked to SLOs and/or CILOs; (ii) Assessment criteria linked to single SLOs and/or CILOs; (iii) Assessment criteria linked to multiple SLOs and/or CILOs. CI: Course Area If there needs to be a lead-in sentence above the CILOs or SLOs when they are displayed in the Subject Outline PDF, the data can now be added to either the 'CILO lead-in sentence' field or the 'SLO lead-in sentence field' in the CIS: Course Area section. The data will then be displayed in each of the course area's subject outline PDFs above the list of CILOs/SLOs. Note, this data is only being stored in CIS at the moment. It is likely that the new data will be incorporated into the PDFs by the end of 2013. July 2013

80 Chinese, Japanese, Korean characters Subject Outline PDFs SO Because of an upgrade to the Cold Fusion server, we temporarily lost the ability to create subject outline PDFs that included Chinese, Japanese, or Korean characters. This has now been fixed so it is again possible. Users need to specify that the subject outline contains these characters when choosing the options when generating the PDF. Full details are in the documentation. May 2013
79 New field Rule and regulations: course specific CI: Course Add any course-specific rule and regulations. This data was previously stored in the 'Course structure 1' field. Full details of the field format are in the Courses table. February 2013
78 New field Retention of student work CI: Course Area Faculties need to be able to retain student work for professional accreditation processes and for demonstrating actual outcomes as part of UTSGAP. As such, this field was created and a standard statement has been added to it (currently only in FEIT but to be added university wide once approval provided at next ADeans meeting). CI and SO From 12 December, CIS has the ability to store graduate attributes, intended learning outcomes (CILOs) and subject learning objectives (SLOs). As such it is now possible to link assessment task criteria to CILOs and SLOs. Once the system has been populated with this data it is then possible to report on what proportions of a subject's assessment are targeted at developing given intended learning outcomes. 74 New field Statement on UTS email account CI: Course Area At the Council meeting on 13 June 2012, Council approved changes to rule 2.3 Communication. Enrolled students are now required to use only their UTS email account to contact the University. As such, a new field has been created and a standard statement has been added to it. It will be drawn into all subject outlines generated from now on. Full details of the field format are in the Course area table. August 2012

65 Subject Outlines workflow released Faculty approved subject fields SO The online workflow process enables a subject coordinator to request a change to a subject field that he or she doesn't have edit access to. This change request is checked by an authorised person in the faculty who recommends the change for approval or rejection and then forwards it to the final authority in the faculty for final approval or rejection. 57 Print handbook discontinuation n/a n/a In June 2011, APO:CIS circulated a survey to the senior executive, deans, associate deans and all directors canvassing opinions on the discontinuation of the print handbook after the 2012 edition. Overwhelmingly, the majority of respondents were 'unconcerned' about the discontinuation of the print handbook. These findings were collated and forwarded to Shirley Alexander, DVC(TLE) with the recommendation to discontinue the print handbook after the 2012 edition. Approval for this recommendation was provided in August 2011. As such, the 2012 print handbook will be the final edition. A PDF of the 2013 handbook will be made available on the online handbook website for those who wish to download and print it. August 2011
56 Minor further amendment to standard admission requirements statements Admission requirements CI: Course Due to concern from the faculties that the wording of the standard statement may deter potential students, several changes have been made: 'in a related field of study' has been removed; 'recognised Australian bachelor's degree' has been changed to 'UTS recognised degree'; 'UTS Rule: ' has been removed from the start of all statements.
Jacqui Wise and Marion Moore (MCU) proposed the rewording at the Academic Administration Committee, 25 May 2011. All associate deans, faculty marketing managers, UTSI and SDVC were consulted. The CIS committee provided input. The final changes to the wording were determined at a meeting between Marion Moore, Brendon Nelson, Lyn Shoemark and Aileen Leddy on 31 May 2011.

Masters degrees by research now have a maximum completion time of 2 yrs FT or 4 yrs PT. These changes have been made, in CIS, to all affected courses. March 2009
