Publishing
Criteria
In general, for a course to be available for publication, it needs to meet the following criteria:
- it must be 'Active' in CASS
- it must have data in the compulsory CIS fields (see below), and
- it must have a publish status of 'Publish: Yes' (only APO: CIS can change the publish status of a course or subject via CIS).
Note: Before a draft or planned course will be changed to Active in CASS, it must have data in the compulsory fields in CIS.
Publish status principles
In 2006 the Senior Deputy Vice-Chancellor confirmed the following principles regarding publishing courses in the handbook:
'That the University Handbook (print and online) is the authoritative statement of all UTS courses and thus should include all active courses with the following exceptions:
- higher doctoral degrees (C01001 to C01005)
- where a decision of Academic Board to phase out/discontinue a course has yet to be recorded on CASS
- where suspension of intake to a course has been approved and this is known in sufficient time to suppress publication
- where a course has been approved and made active on CASS although the first intake is not for the current cycle (i.e. more than a year in advance).'
Exceptions
The publish status applies to all publications as a default unless changed for a specific publication. Any exceptions must be managed in CIS by APO: CIS.
- Courses can be marked as 'Publish: No' in CIS for certain publications, e.g. the UAC Guide.
- Draft or Planned courses can be marked as 'Publish: Yes' and included in certain publications, e.g. International prospectuses (this requires Senior DVC approval and the course must be clearly marked as: 'Note: This course is subject to final approval.').
Compulsory fields
Certain fields within CIS must have data in them before the course or subject will be available for publication. CIS data is not compulsory for majors, sub-majors, choice blocks or streams (for majors and sub-majors, it is however encouraged).

Courses
To be publishable, the following course fields require data in CIS (these fields also need data BEFORE the course will be changed to 'Active' in CASS):
- Overview 1/Introduction
- Overview 2/Why study this course
- Overview 4/Career options
- Course duration and attendance
- Minimum course duration (one or more of the 'Minimum course duration' set of fields)
- Course structure 1
- Areas of study
- Course program 1 (if there is a program template stored in CASS, i.e. Course program 2)
- Other information
- Search terms
Subjects
For the purpose of the UTS: Handbook the only compulsory field is:
- Description
However, as there is a link from every subject description in the UTS: Handbook to a Detailed subject description and subject outlines are now generated from CIS, faculties are required to complete many more fields than just the 'Description' field.
